User Roles¶

Introduction¶

The MobiLec permission system is structured around company hierarchies and their relationships. It is divided into user roles and permissions. Each user role has a specific set of permissions assigned to its users. Based on these relationships, permissions are derived for refrigeration companies, operators and their consultants.

Managed Data¶

MobiLec manages refrigeration system data with a focus on refrigerant monitoring. This includes information about locations, responsibilities and activities carried out on refrigeration systems. Such an activity is defined not only by why, when and which action was performed on a refrigeration system, but also by who was responsible for it, in accordance with EC Regulation (1005/2009 Art. 23 para. 3). This information is made available to users with controlling or administrative permissions in the MobiLec system. This data always includes the name of the person and the refrigeration company the person worked for at the time of the activity. Additional information such as email address and telephone number is hidden unless required for administrative purposes.

Refrigeration Contractor¶

A refrigeration contractor (RC) is the term used in MobiLec for a user belonging to a refrigeration company. The refrigeration company and its users are responsible for carrying out leak tests, maintenance work, etc. on refrigeration systems, as well as monitoring and refilling refrigerant in the event of leakage. If a refrigeration company wishes to create locations or refrigeration systems for an operator, it must be authorised by that operator. This means that the operator agrees to grant the refrigeration company access to its locations. In principle, a refrigeration company has access to all locations of authorised operators and the refrigeration systems it is responsible for, as well as the associated service actions and refrigerant movements. Each user of a refrigeration company must be assigned one of the following roles.

Organisational Units¶

Organisational units are used to subdivide a refrigeration contractor into organisational areas, for example regions, branch offices or service teams.

Each organisational unit belongs to exactly one refrigeration contractor.

Organisational units can be managed in a hierarchical tree structure.

This structure allows refrigeration systems and activities to be assigned to organisational units within the refrigeration contractor.

Use Cases¶

Organisational units can be used to represent the structure of a refrigeration contractor within the MobiLec system.

Typical examples include:

Regions
Branch offices
Service teams
Areas of responsibility

This enables refrigeration systems and activities to be assigned organisationally and evaluated accordingly.

Assignment to Refrigeration Systems¶

Refrigeration systems can be assigned to an organisational unit of the responsible refrigeration contractor.

One organisational unit can be assigned to each refrigeration system.

The assignment is used to categorise refrigeration systems within the organisation of the refrigeration contractor.

Example:

This makes it possible to identify which branch office or service team is responsible for a refrigeration system.

Usage in Activities¶

Service activities and refrigerant movements can be assigned to an organisational unit.

When a new activity is recorded in the MobiLec portal, the organisational unit assigned to the selected refrigeration system is automatically suggested.

The suggested organisational unit can be changed by the user.

When editing existing activities, the stored organisational unit is shown and can also be modified.

In MobiLec Mini, no manual selection of the organisational unit is available. The assignment is performed automatically.

Note¶

The organisational unit assigned to a refrigeration system is used solely as a default value for newly recorded activities.

Therefore, an activity may be assigned to a different organisational unit than the associated refrigeration system.

Operator¶

An operator is the owner of locations. They may create new locations and edit or delete existing ones. They may also fully administer the refrigeration systems belonging to their locations. Key data such as refrigerant charge, refrigerant type, etc. can be configured by the operator, as well as the refrigeration company responsible for the refrigeration system. In addition, the operator can see all actions carried out on the refrigeration systems of its locations. If a refrigeration company creates a location or refrigeration system for an operator, that refrigeration company is automatically assigned as the responsible company. This is only possible if the refrigeration company is authorised by the operator. Refrigeration systems and locations may be edited by refrigeration companies if they are authorised by the operator and responsible for the refrigeration systems. The list of users visible to an operator consists of the users of the operator itself and the users of the refrigeration companies authorised for that operator. Users of the operator can be administered; users of refrigeration companies cannot. There are different permission levels for operator users.

Consultant¶

Consulting companies and their users support one or more operators with technical evaluations and/or administrative management of the refrigeration systems managed in the MobiLec system. Like refrigeration companies, consultants must be authorised by the respective operators in order to gain access to their locations and refrigeration systems. A consultant’s access is strictly limited to the operators for which authorisation exists. Consultants do not own any locations or refrigeration systems of their own, but always work in the context of the operators they support. Each user of a consulting company must be assigned one of the following roles.

Analyser¶

Can see all locations and refrigeration systems of the operators for which the consultant is authorised
Can see all logbook entries and activities on these refrigeration systems
Access to evaluations and statistics of the authorised operators

This role is intended for consultants who work purely in an analytical and monitoring capacity (e.g. reporting, compliance checks or leak analyses).

Manager¶
